The Role:
The Office Manager oversees daily office operations and administrative functions, ensuring a smooth, productive, and efficient workplace. This includes coordinating meetings, maintaining strong communication across all staff levels, and upholding essential office procedures.
Key Responsibilities:
Administrative Oversight
• Managing general office operations, which includes filing and contract management systems, office equipment, and handling all stationery and supply orders.
Staff Supervision & Liaison
• Supervising a small administrative team.
• Often acting as the primary point of contact and communication channel between employees and the management team.
Financial Management
• Managing and supporting basic local bookkeeping and accounting activities.
Logistics & Planning
• Organizing and scheduling internal and external meetings.
• Coordinating travel arrangements and planning company events.
• Managing office calendars and communicating important company information across all markets.
Procedure Implementation
• Developing and implementing efficient office procedures and systems to support the organization’s evolving needs.
Support Functions
• Serving as a crucial support coordinator for our Traffic Department, which involves essential skills like order entry, continuity management, basic log scheduling, and reconciliation.

• Multitasking & Adaptability: The capacity to handle many diverse responsibilities simultaneously and adapt quickly to changing priorities in our dynamic, fun environment.
• Technical Proficiency: Familiarity with standard office software and platforms (e.g., MS Office suite), including inventory, budgeting, and task management tools. Training on our commercial management software will be provided.
• Leadership: The capacity to motivate and guide administrative staff while fostering a collaborative, positive atmosphere supportive of the Woof Boom values.
Interpersonal skills
• Communication: Excellent written and verbal communication skills for effective interaction with staff, clients, and partners.
• Problem-solving: As a central point of contact, the office manager must be a creative, quick-thinking problem-solver who can identify issues and implement practical solutions.
• Emotional intelligence: Empathy and Leadership to navigate internal conflicts and team dynamics are important for maintaining a positive workplace culture.
Business and financial skills
• Vendor management: The ability to negotiate with vendors and coordinate with external contractors for cleaning, security, and equipment maintenance.
• Budgeting: Experience managing an office budget, tracking expenses, and processing invoices is a core function in a small business.
• Basic HR knowledge: For our 50-person company, the office manager often assists with basic HR tasks, including employee onboarding and maintaining personnel records.
A typical day might include:
• Overseeing daily administrative tasks.
• Serving as the primary point of contact for external inquiries and visitors.
• Managing office supplies and equipment.
• Handling internal and external management meetings schedule.
• Assisting with payroll support.
• Coordinating office events, team activities, and employee travel arrangements.
Education Required
The Minimum qualifications
• Education: A high school diploma or equivalent is the basic requirement, and preferred is an Associate’s or Bachelor’s degree.
• Experience: At least 2–5 years of experience in an administrative or office management role is typically required. Experience in a small business environment is a major plus, as candidates will be familiar with handling a wider range of responsibilities.
